Job Details:
Job Summary:
To co-ordinate order receiving from customers and sales team, record them, organize them into routes and oversee invoicing and printing of dispatch and route documents

Responsibilities:
• Order printing and logging
• Follow up orders with the sales team as per the tracking form and distribution plan
• Managing emails in relation to orders
• Vetting orders on guidelines given by the sales team and filtering LPOs not to be invoiced for the second time
• Vehicle co-ordination of both branch and HQ truck for loading date
• Preparing freezer requisition for freezers required by the sales team and following up with the Finance & Admin Officer to reach Uganda on time
• Route planning of local deliveries (Kampala)
• Generate & print route lists and supporting loading sheets
• Filing of route documents and credit note
• Oversee walk-in and function clients
• Attend to walk-in customers and ensure order processing has been done.
• Ensure customers make payment ahead of order fulfillment
• Handling of function orders to fulfillment – emphasis to be given on accuracy in order specification for invoice processing and timely delivery
• Maintain an up-to-date database of customer contacts i.e. names, numbers, contact person, location, etc is maintained
• Printing orders received through email and phone and logging them into records
• Calling office customers for order replenishment
• Achieve seamless & timely deliveries through proper route planning
• Following up with the Branch Admin Officer on special orders that have been requested for
• Make sure products requiring special delivery to clients/outlets who are not part of the normal route have been handled
• Collaborate with the DE, Sales, and Route Planning teams to ensure undelivered goods from a particular route are scheduled for subsequent deliveries.
• Prepare the previous day’s incidents/occurrences report
• Attach returns notifications to invoices of their respective outlets.
• Assist in confirming LPO details against their invoices
• Compile a list of outlets that missed certain products due to stock outs
• Follow up on stock availability with the office administrator
• Co-ordinate account unblocking with credit department in head office
• Filing invoices, route plans, loading sheets, sales return forms, freezer collection forms

Qualifications:
• Degree in business management or any related field.
• At least one year’s experience in customer service
• Proficiency in MS Office packages
• Strong technical skills
• Effective verbal and written communication skills.
• High speed and accuracy in data input.
• Ability to set priorities, identify and address problems
