Job Details:

Job Summary
The Executive secreSecretary has the responsibility of running the day-to-day affairs of the Chapter, with an aim of providing high-quality services to Chapter members and implementing the Chapter strategic plan.
She/He will ensure proper management and administration of the Chapter office procedures and supports the Directors and Chapter members by overseeing Chapter office duties.
Drive the Chapter’s strategic plan, deliver sustainable membership and financial growth through boosting revenues and forging strong relationships with the membership and Partners/stakeholder engagement.
Officer oversee the data privacy and protection policies to ensure that the entire organization processes the personal data of their customers, employees, and partners, in accordance with company policies and regulatory compliance requirements. Makes sure that the company’s information is being handled appropriately.
Responsible for data protection impact assessments, and internal audits in line with the act and compliance.
Managing and tracking the Chapter’s cash flow and financial planning as well as analyzing the financial strengths and weaknesses and proposing corrective actions.

Job Description
Chapter Administration
• Supervision of all secretariate activities.
• In liaison with the secretary, organize the Board meetings and ensure all the Board minutes are timely provided and filed accordingly.
• Supervise the work of all the chapter staff and ensure that their performance is in accordance with the chapter’s policies and procedures.
• In Liaison with the Chapter Secretary, review the staff Job descriptions,
• KPI’s/KRA’s and timely appraisal of all the staff.

Training secretariate personnel and helping team members develop their skills.
• Develop entry-level staff and interns into valuable personnel.
• Prepare Chapter personnel's contracts ensuring adherence to law-established rules and guidelines.
• Managing and tracking the Chapter’s cash flow and financial planning as well as analyzing the financial strengths and weaknesses and proposing corrective actions.
• Member Services
• Planning and overseeing new Chapter strategic initiatives and implementation.
• Oversee member services such as onboarding of new members, renewal processes, and resolution of queries.
• Organize member activities such as CPD seminars, AGMs, etc
• Business Development
• Develop a growth strategy focused on financial gain.
• In liaison with the directorate responsible, draft sponsorship proposals/concept notes, develop quotes and proposals for partners' engagements and present them to the Board for approval.
• Work with the secretary to Improve resource mobilization the value and standing of the profession, oversight on the effectiveness of the secretariate operational efficiency, and Membership engagement.
• Contacting potential clients/partners to establish rapport and arrange meetings.
• Research organizations and individuals to find new opportunities for collaboration. Increasing the value of current members while attracting new ones.
• Finding and developing new avenues and leads and improving revenues. Conduct research to identify new markets and membership needs
• Representing the Chapter by attending conferences, meetings, and industry events.
• Arrange business meetings with prospective partners and vendors
• Promote the Chapter’s products/services in line with the set Chapter and the International objectives.
• Build long-term relationships with new and existing membership, Partners, and Vendors.

Data Privacy/protection Officer (DPO)
• Educating the company and employees on important compliance requirements.
• Training staff in compliant data processing and storage
• Conducting audits to ensure compliance and addressing any potential issues proactively.
• Acting as an organization’s data protection and privacy evangelist.
• Serving as the point of contact between the company and supervisory authorities.
• Maintaining records of all data processing activities conducted by the company, including all processing activities.
• Interfacing with data subjects to inform them of their rights, how their data is being used, and what processes the company has put in place to protect their data, responding to data subjects to inform them about how their personal data is being used and what measures the company has put in place to protect their data
• Ensuring that data subjects’ requests to see copies of their personal data or to have
• their personal data erased are fulfilled or responded to, as necessary.

Executive secretary and business development manager minimum requirements:
• Bachelor’s degree in business administration, Marketing, or related field.
• Strong communication and negotiation skills.
• Ability to manage complex undertakings and multi-task.
• Excellent organizational skills.
• Ability to flourish with minimal guidance, be proactive, and handle uncertainty.
• Experience in sales, marketing, management, or related field.
• Proven working experience as a business development manager, sales executive, or a relevant role.
• Comfortable using a computer for various tasks.
• Proficient in Word, Excel, Outlook, and PowerPoint.
• Experience in customer support is a plus
• Proficiency in English
